Deep seeks a full-time administrative assistant with excellent attention to detail, strong problem-solving and communication skills to assist Deep’s leadership in the following areas:

Finance

Assist in maintaining documentation of expense and income
Coordinate vendor payments and employee reimbursements
Provide support to bookkeeper
Set up and revise budgets and spreadsheets
Manage deposits and bank records in compliance with organization’s financial policies
Development & Events Support

Assist in maintaining donor database, running reports, and coordinating various donor communications, gift acknowledgments, and marketing materials
Assist with logistics for donor cultivation and outreach events
Assist with submission of grant proposals and reports
Maintain relationships with and manage volunteer teams and vendors

Human Resources

Assist in managing employee payroll and benefit enrollment
Track and record paid time off for employees
Support hiring process for job candidates, including screening resumes and scheduling interviews
Operations

Manage logistics and prepare materials for weekly staff meetings and regular board meetings
Process mail and donations
Schedule meetings and manage calendars
Contribute to creating, maintaining, and updating operational processes to ensure alignment to best practices and compliance with legal mandates
Provide daily logistical support to staff (purchasing, scheduling, and coordinating)
Office Support

Copy edit documents, as needed
Respond to general inquiries from the public via phone and email and greet visitors
Maintain communal office spaces and assist team in preparing for guests and visitors
Book and manage travel arrangements
Undertake special projects at the direction of the Executive Director and the Deputy Director (e.g. assisting in audit)
Experience required: Financial Documents, Payroll and Accounts Payable, Fundraising Campaigns, Donor Relations, Budgets, Grants Administration and Submission Process, Events.

Qualifications: Commitment to racial, gender, economic, and social justice and willingness to be an active participant in an open and democratic work culture. Efficient, organized, and dependable, with a strong track record of balancing multiple deadlines. Strong skills in oral and written communication, and a love of reading and writing. Independent, curious, problem-solving attitude.
