OFFICE MANAGER – January 2026

Position

Deep seeks a full-time, onsite officer manager with excellent attention to detail, strong problem-solving and communication skills to assist Deep’s leadership in the following areas:

Finance

  • Assist in maintaining documentation of expenses, income, and reimbursements 
  • Coordinate vendor payments and employee reimbursements
  • Provide support to bookkeeper
  • Set up and revise budgets and spreadsheets
  • Manage deposits and bank records in compliance with organization’s financial policies

Human Resources

  • Support hiring process for job candidates, including screening resumes and scheduling interviews
  • Assist in managing employee payroll and benefit enrollment 
  • Maintain employee records
  • Assist with research and drafting of proposed policies

Development & Events Support 

  • Assist in maintaining donor database, running reports, and coordinating various donor communications, gift acknowledgments, and marketing materials 
  • Assist with logistics for donor cultivation and outreach events
  • Assist with submission of grant proposals and reports

Operations

  • Manage logistics and prepare materials for weekly staff meetings and regular board meetings
  • Process mail and donations
  • Assist staff with technology needs and troubleshoot tech issues prior to IT engagement
  • Provide daily logistical support to staff (purchasing, scheduling, and coordinating)

Office Support

  • Copy edit documents, as needed
  • Respond to general inquiries from the public via phone and email and greet visitors
  • Maintain communal office spaces and assist team in preparing for guests and visitors
  • Book and manage travel arrangements
  • Undertake special projects at the direction of the Executive Director and the Deputy Director
  • Maintain relationships with vendors and contractors 

Skills & Experience

  • Attention to detail
  • Excellent interpersonal, verbal, and written communication skills
  • Payroll & Accounts Payable experience
  • Fluency with financial reporting and budgets
  • Experience with donor relations, fundraising campaigns, and grant support
  • Project and event coordination skills
  • Ability to prioritize work, meet deadlines, and produce quality results on time
  • Ability to work independently and as part of a team
  • Skill in Bloomerang or other CRM system; PayChex Flex or other payroll system, and Quickbooks Online
  • Comfort with computer technology and printers, including troubleshooting and tech research
  • Proficiency with office applications and online collaboration tools, such as Excel, Google suite, Canva, Adobe, DocuSign, Dropbox, etc

Qualifications: Efficient, organized, and dependable, with a strong track record of balancing multiple deadlines. Independent, curious, resourceful, problem-solving attitude. 

Salary Range $50,000 – $55,000

Reports to: Deputy  Director

Status: Full Time, Exempt (salaried) 

Location: On Site in Savannah, GA 

Start date: As soon as possible (position open until filled)

  • Occasionally includes reaching above shoulder heights, below the waist or lifting up to 25 pounds for office equipment, supplies and materials.
